How to write a past-due invoice email that gets a reply

Most past-due emails get ignored because they are written to be ignorable. Six changes that make yours the one the client answers, with before-and-after examples.

A past-due invoice email gets a reply when it is easy to answer: the subject line names the invoice and the amount, the first sentence says what you want, there is exactly one ask, the invoice is attached, it comes from a person, and it ends with a date. In our data, 27.5% of follow-ups sent this way got a reply, and 40% of invoices that were eventually paid had a client reply first. The email that gets ignored is usually the one that is polite, vague, and asks for nothing in particular.

Here are the six changes, each with the version that gets ignored and the version that gets answered.

1. Put the invoice number and amount in the subject line

The person on the other end is scanning an inbox. A subject line that says what this is about gets opened; one that says 'Following up' gets triaged into later. It also makes the email findable when they forward it to AP.

2. Say what you want in the first sentence

Do not open with how you hope they are doing well. Open with the invoice, the amount, the date, and the fact that it is past due. Warmth belongs at the end, in the sign-off, after the point has been made.

Hi Dana, hope you're doing well and the project is going smoothly on your end. I wanted to reach out about an invoice.

Hi Dana, invoice #2231 for $4,850 was due on September 2 and is now two weeks past due.

3. Make exactly one ask

An email that asks the client to pay, or confirm a date, or let you know if there is an issue, or forward to the right person, has given them four ways to not act. Pick one. Early in the sequence the ask is 'let me know if this is in your queue.' Later it is 'confirm a payment date by Thursday.' Never all of them at once.

Could you let me know if this has been processed, or if there's an issue with it, or if I should be sending it to someone else? Happy to resend if needed.

Can you confirm a payment date by Thursday?

4. Attach the invoice, every time

Assume the original is gone. If your email makes them go find it, a meaningful share of them will not. Attach the PDF and put the payment details or link in the body. The goal is that paying takes less effort than replying.

5. Send it from a person, not a mailbox

An email from ar@yourcompany.com signed 'Accounts Receivable' is easy to ignore because nobody is on the other end of it. An email from you, with your name at the bottom, is a person waiting for an answer. People reply to people. This is also why platform-branded reminders underperform: the client can tell nobody sent it.

6. End with a date

An open-ended ask has no deadline, so it never becomes urgent. 'By Thursday' gives the client something to schedule against and gives you a day to follow up on if it passes. Keep the window short (two business days early on, five for an escalation) and follow up the morning after it closes.

33%

reply rate for follow-ups sent on Wednesday or Thursday, versus 23% on Friday. Send midweek.

Subject: Invoice #2231 for $4,850, due Sep 2

Hi Dana,

Invoice #2231 for $4,850 was due on September 2 and is now two weeks past due.

Can you confirm a payment date by Thursday? If anything on the invoice needs fixing before it can be paid, tell me and I will turn it around today.

Invoice attached. Pay here: [link], or ACH details are on the PDF.

Thanks,
Sam

Sixty-two words. Everything the client needs to act, nothing they need to interpret.

What about tone?

Direct is not the same as cold. The email above is friendly; it is just not padded. The tone should firm up over the sequence (the first note assumes it slipped, the third asks plainly for a date, the fifth names a consequence), but at every stage the structure is the same: subject with the invoice, ask in the first sentence, one ask, attached, from a person, with a date. Firmness is in the ask and the deadline, not in the adjectives.

The email that gets answered is the one that is easiest to answer.

When the reply comes

Answer it the same day. A reply is the invoice becoming visible on their side; letting it go dark again is the most expensive mistake in the whole sequence. 'It is in our queue' gets 'thanks, what date should I expect it?' 'We never got it' gets a resend to the address they name, that hour. 'There is a problem' pauses the reminders until the problem is fixed. Then the sequence resumes from where it was.

This is the part Reeve automates end to end: it writes each email to this structure for the specific invoice, sends it from your own address, reads the reply, and either records the date, pauses on the dispute, or routes the question to you. You still make the judgment calls; the writing and the follow-through happen on their own.

Common questions

What should the subject line of a past-due invoice email be?

The invoice number, the amount, and the due date: 'Invoice #2231 for $4,850, due Sep 2.' It gets opened, it gets found later, and it survives being forwarded to accounts payable.

How do you politely ask for payment of an overdue invoice?

State the facts in the first sentence (invoice, amount, due date, days past due), make one clear ask with a date, attach the invoice, and sign it with your name. Polite is about being clear and assuming good faith, not about padding the email with pleasantries.

How long should a past-due invoice email be?

Under 100 words. It should fit on a phone screen without scrolling. Every sentence should either state a fact about the invoice or make the ask.

Should I send overdue invoice reminders from a shared AR mailbox?

Send from a named person whenever you can. Emails from a shared mailbox signed by a department get lower reply rates because there is no one on the other end. If a shared inbox is unavoidable, still sign with a real name.

What is the best day to send a payment reminder email?

Midweek. In Reeve's data, Wednesday and Thursday sends had a 33% reply rate versus 23% on Friday, and business-hours sends roughly doubled the reply rate of overnight sends.
