FAQ

Questions, answered.

How Reeve follows up in your name, what it does with QuickBooks, what it costs, and how it treats your data.

What Reeve is

What is Reeve?

Reeve is an accounts receivable agent for B2B service businesses on QuickBooks Online. It reads your open invoices, follows up on the overdue ones in your name from your own email, escalates in tone over time, stops the moment a payment posts, and reports the AR numbers QuickBooks does not: DSO, aging by client, days late, and collection speed.

Is Reeve a collections agency?

No. Reeve does not buy debt, take a percentage of what it collects, or contact your clients as a third party. Every message goes out under your name and from your email account, in the tone you would use. It is your follow-up, done consistently.

Who is Reeve for?

B2B service businesses with meaningful receivables: staffing and recruiting, freight and logistics, agencies, IT services and MSPs, trades, distribution, professional services. Typically $1M to $50M in revenue, on QuickBooks Online, where the owner or a small finance team is the AR department.

What is the difference between Reeve and automated invoice reminders?

Reminders send a template on a schedule you configure. Reeve reads each invoice and the client's history, writes each follow-up for that situation, escalates tone and channel based on what happens, pauses when a client disputes, and stops when payment is recorded. There are no templates or workflows to build; connect QuickBooks and it starts.

Getting started

How long does setup take?

Under ten minutes. Connect QuickBooks Online, connect your Gmail or Microsoft 365 account, review the list of invoices and clients Reeve will work on, exempt anyone you want left alone, and turn it on.

Do I need to write templates or set up workflows?

No. Reeve writes each follow-up for the specific invoice and client. The escalation logic (friendly, then direct, then firm, then an owner-review step) is built in. You can adjust tone, timing, and which clients are in scope, but nothing needs to be configured before the first email goes out.

Can I try it on my own invoices before committing?

Yes. Every plan starts with a 7-day free trial on your real QuickBooks data. You see exactly what Reeve would send, to whom, and when, before anything goes out. There is also a live demo with sample data if you want to look around first.

Can I run it in review mode before letting it send on its own?

Yes. Reeve can run fully automatic, in review mode where every message waits for your approval, or hybrid where routine reminders go out automatically and anything firmer waits in an approval queue.

Sending and replies

Does Reeve send emails from my email address?

Yes. Reeve connects to your Gmail or Outlook via OAuth and sends every follow-up from your actual email address. Your clients see your name, your address, and your signature, not a platform notification address.

What if a client replies to a Reeve email?

The reply lands in your inbox naturally, because the conversation came from you. Reeve also reads the reply: a dispute pauses follow-ups on that invoice and alerts you, a promise to pay records the date, and a question is routed to you.

Will Reeve keep emailing a client who has already paid?

No. Reeve detects the payment in QuickBooks and immediately stops all follow-up for that invoice. No client is contacted after paying.

How often does Reeve follow up?

On a fixed schedule that escalates over roughly 60 days: a friendly note shortly after the due date, a direct check-in about a week later, a firm request for a payment date around three weeks, and an escalation step after that. Timing is adjustable per workspace, and a grace period (three days by default) delays the first touch.

Can I control which clients Reeve follows up with?

Yes. Before Reeve starts, you see a full list of the invoices it will work on and can exempt any client with one tap. After activation, you can pause or exempt clients at any time from the dashboard. Exempt clients are never contacted.

Does Reeve send one email per invoice?

When a client has several overdue invoices, Reeve bundles them into one message rather than sending several, so the client gets one clear note with everything owed. Each invoice still keeps its own escalation state.

QuickBooks and payments

Does Reeve replace my QuickBooks subscription?

No. Reeve connects to your existing QuickBooks Online account. It reads your invoices and detects payments, but does not replace any QuickBooks functionality.

Does Reeve write anything to QuickBooks?

No. Reeve reads invoices, customers, and payments from QuickBooks Online. It does not create, edit, or delete anything in your books.

How does Reeve know an invoice has been paid?

Reeve watches QuickBooks Online for payment activity and reconciles it to the invoice. When a payment is recorded against an invoice in QuickBooks, follow-up on that invoice stops.

Does Reeve work with QuickBooks Desktop, Xero, or NetSuite?

Not today. Reeve integrates with QuickBooks Online. If you are on another system, tell us at hello@getreeve.ai; it helps us decide what to build next.

Does Reeve include a payment portal?

No. Follow-ups include whatever payment instructions or link you already use, such as QuickBooks Payments. Reeve is the follow-up and the reporting, not the checkout.

Reporting

What AR metrics does Reeve report?

Days sales outstanding (DSO), aging by client, days late, collection speed, cycle time, and write-off rate, reconciled to QuickBooks. Reports are emailed weekly, and you can ask for any cut of the numbers in plain English.

Can I see what Reeve has done and what it plans to do?

Yes. The dashboard shows every follow-up sent, every reply, every payment, and what is scheduled next, per client and per invoice. Nothing goes out that you cannot see.

Pricing and billing

How does Reeve pricing work?

A monthly subscription priced on how much you invoice each month, not on seats. Starter is $149/month for up to $100K invoiced per month, Growth is $499/month for up to $300K, and Scale is $999/month for up to $500K. Above that, we set up a custom plan.

Is there a percentage-of-collections fee?

No. Standard Reeve plans are a flat monthly subscription. You keep everything Reeve collects.

Is there a contract or commitment?

No. Reeve is month-to-month and you can cancel any time. Every plan starts with a 7-day free trial.

What happens as we grow?

Your plan scales with how much you invoice each month. If your monthly invoicing crosses into the next tier, you move up; once you are over $500K invoiced per month, we set you up with a custom plan.

Security and data

How does Reeve access my email and QuickBooks?

Through OAuth, the same authorization flow those providers use for any connected app. Reeve never sees your passwords. You can revoke access from your Google, Microsoft, or Intuit account settings at any time.

Does Reeve read my whole inbox?

Reeve looks at incoming mail only to match it to a follow-up it sent, using the reply headers, the thread, or the sender being a client it has written to. Matched replies are read for disputes, promises to pay, and questions. Mail that does not belong to a Reeve conversation is not acted on.

Who can see my data?

Only members of your workspace. Data is isolated per workspace and every read is enforced at the database level, not just in the app.

Your whole AR, on autopilot.

Reeve collects every overdue invoice in your name and shows you exactly where you stand.
