QuickBooks Online's automatic invoice reminders send up to three email reminders per invoice, each scheduled a set number of days before or after the due date, within 90 days on either side. The schedule applies to every customer, it only covers invoices you emailed from QuickBooks, and it is email only. For a business whose clients mostly pay on time and occasionally forget, that is enough. For a business with invoices that go 45, 60, or 90 days late, it runs out exactly when you need it most.
Here is how to turn it on, precisely how it behaves, and where the edges are, so you can decide whether it covers you.
How do you turn on automatic invoice reminders in QuickBooks Online?
- 1Open settings. Click the gear icon, then Account and settings, then Sales.
- 2Find Reminders. In the Reminders section, click the pencil to edit, and turn on Automatic invoice reminders.
- 3Set up to three reminders. For each, choose a number of days and whether it fires before or after the due date. A common setup: 3 days before, 1 day after, 7 days after.
- 4Edit the default email. There is one message per reminder. Set the subject and body. Merge fields fill in the invoice number, amount, and due date.
- 5Save. Reminders apply to invoices created from this point on.
You can also send a reminder manually from any invoice at any time, which is worth knowing for the invoices the automatic schedule has already given up on.
What exactly do QuickBooks reminders do?
According to Intuit's own documentation, the feature behaves like this:
- Up to three reminders per invoice. After the third, nothing further is sent automatically, no matter how old the invoice gets.
- Within 90 days of the due date. Each reminder can be scheduled up to 90 days before or after the due date. Nothing can be scheduled beyond that.
- Only for invoices you emailed from QuickBooks. An invoice you created but sent some other way, or one you printed, is not covered.
- Only for invoices created after you turn it on. Existing open invoices do not pick up the schedule.
- One schedule for every customer. Settings are company-wide. There is no per-customer timing, and no way to exclude one account while keeping the rest on.
- Email only. No SMS, no calls, no letters.
- Sent by QuickBooks. Reminders go out from Intuit's mail system on your behalf, with your company name, not from your own email account.
- Stops when the invoice is paid. Once payment is recorded in QuickBooks, the remaining reminders do not fire.
When are QuickBooks reminders enough?
Honestly, more often than the software industry would like you to believe. If most of your clients pay within terms and the late ones are late because someone forgot, three well-timed emails will recover most of them, for free. Set 3 days before, 1 day after, and 7 days after, and you have covered the forgetful.
The feature is a good fit when your open invoice count is small (a few dozen), your terms are short (net 15 or net 30), and your clients are individuals or small businesses where the person who received the invoice is the person who pays it.
Where do QuickBooks reminders stop?
They stop at the point where a reminder becomes a collection. Five situations, all common in B2B service businesses, fall outside what the feature can do.
The invoice is 45 days late and still unpaid
Three reminders are spent. The invoice will not get another automatic touch. From here, someone on your team has to notice it on the aging report and send a manual reminder, and then notice it again a week later. This is where most overdue invoices in QuickBooks go quiet.
Your clients need escalating pressure, not repetition
The three reminders use the same voice. A large client's AP department does not move because they received a third friendly note; it moves when the tone changes, a decision maker is copied, or a date is demanded. Escalation is a different thing from repetition, and the feature only does the second.
One client needs different handling
You have one strategic account you never want reminded automatically, or one chronic late payer who needs reminders twice as often. Company-wide settings cannot express either. It is all customers or none.
The client replies
Replies go to your company email. If a client writes back to dispute a line item, the next reminder still fires on schedule, which is the fastest way to teach a client to ignore you. Nothing in the feature reads replies, pauses on disputes, or records a promised payment date.
Email is not working
Some invoices need a text or a call. The feature is email only, so those invoices move to a spreadsheet and a to-do list.
| Need | QuickBooks reminders | What it takes |
|---|---|---|
| Reminders past 90 days | No | A tool or a person watching the aging report |
| More than three touches | No | Manual sends, or an escalating sequence |
| Different schedule per client | No | Per-client rules |
| Escalating tone | No | Stage-based follow-up |
| Pause on dispute | No | Reply reading |
| SMS or calls | No | A second channel |
| Sent from your own email | No | Your Gmail or Microsoft 365 connected |
| Stops on payment | Yes | |
| Cost | Free |
What to do when you outgrow them
Keep QuickBooks reminders on. They cost nothing and they catch the forgetful. Then decide who handles the invoices that get past them.
If it is a person, give them the sequence: a fixed schedule from day 1 to day 60, escalating in tone, with templates so it takes minutes rather than judgment. We published exactly that, with five copy-and-paste emails, linked below.
If it is software, this is the job Reeve was built for. It connects to QuickBooks Online, picks up every open invoice including the ones QuickBooks has stopped reminding about, and follows up in your name from your own email, escalating stage by stage, pausing on disputes, and stopping the moment a payment posts. It also reports the AR numbers QuickBooks does not: DSO, aging by client, days late, and collection speed. Think of it as what happens after the third reminder.
Common questions
How many automatic reminders can QuickBooks Online send per invoice?
Up to three. Each can be scheduled a chosen number of days before or after the due date, within a 90-day window on either side. After the third reminder, no further automatic emails are sent for that invoice.
Can QuickBooks send different reminders to different customers?
No. Automatic reminder settings in QuickBooks Online are company-wide. Every customer receives the same schedule and there is no documented way to exclude a specific customer or give one a different cadence.
Do QuickBooks reminders send from my own email address?
No. Reminders are sent by QuickBooks on your behalf with your company name, not from your personal or company email account. Tools like Reeve send through your own Gmail or Microsoft 365 account instead.
Why did my QuickBooks reminders stop sending?
The most common reasons: the invoice has already received its three reminders, the invoice is more than 90 days past due, it was created before reminders were turned on, or it was not emailed from QuickBooks in the first place. Check each against Intuit's documentation.
Does QuickBooks stop reminders when an invoice is paid?
Yes. Once a payment is recorded against the invoice in QuickBooks Online, any remaining scheduled reminders for that invoice do not send.
