Subject: Invoice [#1234]: $[amount], 45 days past due
Hi [First name], I am copying [decision maker] because invoice [#1234] for $[amount] is now 45 days past its [date] due date and I have not been able to get a payment date. We value the work we do together and I would like to resolve this without it going any further. Please arrange payment or reply with a firm date by [deadline, 5 business days out]. Invoice attached. Payment details: [link or remittance details]. [Your name]
Escalation means a new reader, not a louder message. Copying the client's controller, owner, or the person who commissioned the work changes the invoice from an AP-queue item into something a decision maker has seen. This is often the first time anyone with authority on their side knows the invoice exists.
The tone stays professional and the relationship line is sincere: you would rather fix this than lose them. The deadline is longer (five business days) because a new reader needs time to act.
What to change
- Who you copy. The person who approved the work, or their controller. Not a generic 'management' address.
- The relationship line. Keep it if you mean it. Drop it if the relationship is already over.
- The deadline. Five business days. Then act.
What to avoid
- Copying three people. One decision maker.
- Recounting every prior email. One sentence of history is enough.
- Naming a consequence yet. That is the final notice.
Common questions
Who should you escalate an unpaid invoice to?
The person on the client side who approved the work, or their controller or finance lead. Accounts payable cannot authorize a payment that is stuck; the person who commissioned the work can.
How do you escalate an invoice without ending the relationship?
Copy one decision maker, state the facts in one sentence, say plainly that you would rather resolve it than let it go further, and give a reasonable deadline. Escalation is a new reader, not a threat.
How long should you wait after a firm request before escalating?
About three weeks, so roughly day 45 in a sequence that sent a firm request at day 21. Silence after a firm request with a deadline is the trigger.
