What the collectibility rates say you are unlikely to recover without a change. An illustration, not an allowance.

The shape is drifting right. Confirm a follow-up went out on every invoice over 30 days, and compare to last month by client to catch who is lengthening.

How it is calculated

Formula

Share past due = (1-30 + 31-60 + 61-90 + 90+) ÷ Total receivables

The aging report groups every unpaid invoice by how long it has been outstanding. This tool turns the five totals into shares of the whole, because the shape is what matters: a healthy B2B service business on net-30 terms has most of its receivables current or under 30 days, single digits in 31 to 60, and very little beyond.

The verdict uses simple thresholds. Healthy: under 20% past due and under 5% over 90. Watch: 20% to 35% past due, or 5% to 10% over 90. Action: more than 35% past due, or more than 10% over 90 days. These are rules of thumb for B2B services; staffing, freight, and government contracting run structurally later.

The at-risk estimate applies a typical collectibility rate to each bucket (editable) and sums what is unlikely to be collected. It is an illustration, not an allowance; your own history is the right source for those rates.

Common questions

What is a healthy aging report?

Front-loaded: roughly 70% to 80% of the total current, 15% to 20% in 1 to 30 days, single digits in 31 to 60, and very little beyond 60. Under 5% of receivables over 90 days is healthy; over 10% means the over-90 balances need a decision, not more reminders.

Where do I find these totals in QuickBooks?

Reports, A/R Aging Summary. Set the aging method to Report date and days per period to 30 with 4 periods. The column totals at the bottom are the five numbers this tool needs.

Should retainage or milestone billing be excluded?

Retainage is owed later by agreement and should not be aged as if it were late. If your aging report includes it, subtract it from the relevant bucket before entering, or track it separately.

What do the collectibility rates mean?

The share of each bucket you would expect to eventually collect. The defaults are typical for B2B services (very high for current, falling sharply past 90 days). Edit them to match your own write-off history.

Does this store my numbers?
