Firm request for a payment date

Send three weeks past due when earlier notes have gone unanswered.

The template

Subject: Invoice [#1234] is 3 weeks past due

Hi [First name],

Invoice [#1234] for $[amount] was due on [date] and is now three weeks past due. I have not heard back on my earlier notes.

Can you confirm a payment date by [day, 2 business days out]? If there is a dispute or a missing PO on your end, tell me what you need and I will get it to you today.

Invoice attached. Payment details: [link or remittance details].

[Your name]

Three weeks in, the tone changes. Not to anger, but to specificity: you name the fact that earlier notes went unanswered, and you ask for a date by a date. The deadline is the point. An open-ended ask never becomes urgent; 'by Thursday' gives the client something to schedule and gives you a morning to follow up on.

This is also the email where the sign-off drops the 'thanks.' The firmness is in the ask and the deadline, not in the adjectives.

What to change

  • The deadline. Two business days out. Short enough to be urgent, long enough to be reasonable.
  • The dispute line. Keep it. A client who has been silently sitting on a problem will often surface it here.
  • Who it goes to. Still the AP contact. Escalating to their manager is the next step, not this one.

What to avoid

  • Legalese. 'Please be advised' makes it worse, not firmer.
  • Threatening anything you will not do.
  • Sending it without having sent the two earlier notes. A client whose first firm contact is a firm email will feel ambushed.

Common questions

How do you write a firm payment reminder without damaging the relationship?

State the facts (invoice, amount, due date, weeks past due, no reply to earlier notes), ask for a payment date by a specific day, and invite them to tell you if something is wrong. Firmness is in the ask and the deadline, not in the language.

Should a firm reminder mention late fees?

Only if your terms included them before the work was done. If so, this is the right stage to mention that they apply, factually, without making it the main point.

What if the client still does not reply?

Escalate: copy a decision maker on the client side, restate the facts, and set a longer deadline. Silence after a firm request is the signal to go up a level.
